What you are paying for
A custom CRM is priced by the work, not by the number of people who log in. The price comes from four things:
- Screens and workflows: a pipeline, a job board and a client portal are each their own piece of work.
- Integrations: connecting accounting, payments, email, calendars or your website adds time per system.
- Data migration: moving years of contacts and jobs out of spreadsheets or an old tool.
- Automations and AI: follow-ups, reminders and AI-drafted messages.
Typical price ranges in 2026
Published 2026 guides from development agencies give these ranges. They assume a full in-house agency team, which is why they run higher than a small studio.
| Build | Typical cost | Timeline |
|---|---|---|
| Basic CRM (agency estimate) | $24,000–$45,000 | 8–12 weeks |
| Standard CRM (agency estimate) | $54,000–$112,000 | 12–20 weeks |
| Small to mid-size CRM (another agency estimate) | $50,000–$80,000+ | Not stated |
| CRMmage full CRM suite | $10,000–$25,000 | 4–8 weeks to first version |
| CRMmage focused tool (one workflow) | Less than a full suite | Often under 4 weeks |
The agency figures come from RaftLabs and Cleveroad. We keep our price lower by working as a small team, building on proven components and scoping to what you actually use.
Ongoing costs to plan for
Building is a one-time cost, but software still runs somewhere. RaftLabs estimates infrastructure at $200 to $1,500 a month for larger systems and maintenance at 10% to 20% of the build cost per year. For a small business CRM, hosting is usually far below that range. With CRMmage, a care plan for updates and changes is optional, never required.
Compared with a subscription
A subscription has no build cost but grows with every seat. A 10-person team paying $90 per seat plus $228 a month in add-ons spends $1,128 a month: about $40,600 over three years and $67,700 over five. See the full math in our custom CRM vs subscription cost guide.
Small teams with simple processes are often better off buying. Agency math shows a custom build against a cheap starter plan can take four years or more to pay back, so we say so on the call when that is the case.
Price a CRM by what it has to do, not by how many people use it. If a quote can’t tell you what each piece costs, ask for a fixed price before you sign.
